How two million documents were saved from archive death

All banks in Sweden have to comply with the strict requirements demanded by the Swedish Financial Supervisory Authority, Finansinspektionen, concerning the storage of personal data. Previously, the sorting and archiving of handwritten documents at The Bank were handled entirely by hand. 600 000 documents were stored on more than 90 metres of shelf space.

With our help we brought down the archiving time per document from 5 minutes – to 5 seconds. Today, the bank has two million documents in secure storage and digitally searchable around the clock via SmartArchive™. Instead of 500 archive boxes they could transfer the entire archive with one mouse click once the removal van had left.

How Customer Service found more time for customers.

Every year, the magazine publisher receives more than 600 000 handwritten subscription coupons. Previously, employees and hired seasonal employees sat in the office and manually entered the handwritten details. On a good day an employee could register 200 coupons in an hour. With SmartInfo's solution the situation looks completely different. The employee takes a bundle of coupons, puts them into the scanner and presses the button. While she/he goes and has a coffee break or works serving customers, the coupons are converted into digital text and a subscription order is created automatically; everything is done in about 5 minutes instead of 2.5 hours.

All coupons are archived together with customer data in SmartArchive™ and are easy to find if the customer calls. Instead of filling folders with old handwritten coupons they end up being recycled and turned into new paper.

One of the biggest players in gaming in Sweden used to process a large number of handwritten forms. To apply for a gaming card you have to send a handwritten application form. Every year the company handles 200 000 applications with information that has to be entered into a customer database and stored. While they previously registered everything by hand there was the risk of "the human factor". It was complicated and time-consuming for both customers and the company to obtain the right information. Today, 80 applications/minute are scanned using SmartScan™, read and interpreted by SmartReader™, stored in SmartArchive™ and afterwards a completed gaming card is generated. All customer data is digitally searchable in seconds. If the customer calls it is both fast and easy to find the right information.
